Entry & Permissions

Preparing Work for Entry

  1. There is no set theme.
  2. Any medium and 2D art form is permitted: drawing, painting, photography (secondary schools only), printmaking and digital art. Canvases are welcome. Sculpture cannot be accommodated. 
  3. Work is not to be framed, but should be mounted by the school, on strong black paper, no more than 6cm wider than the artwork itself. Canvases should be left unmounted, but can be strung or fitted with mirror plates.
  4. We advise that work in soft media (pastels/pencil/chalk/charcoal) be sprayed with fixative prior to submission.
  5. The following work is not acceptable: collective pieces; subject matter that might offend; objects that are dangerous; work that is still wet; copies of other artists’ material; film/video, digital pieces (requiring a screen or projector) and sculpture.
  6. We cannot accept photocopies of work. All entries require clear identification of School, Key Stage, Student’s name and Art Teacher’s name and contact details. Works MUST be labelled on the reverse of the artwork using the label provided as part of the downloadable permission form and label, accessible via the link at the bottom of this page.   
  7. A list of entries and students’ names should be provided using our entry form.

Conditions of Entry

  1. Photographs and newspaper articles about the work displayed at the exhibition may be used for publicity purposes. Parents/guardians must sign a permission slip to this effect, see downloadable permission form and label. Due diligence to protect the personal details of all those involved will be undertaken.
  2. The organisers undertake to handle and display the artwork with the greatest care, but cannot be held responsible for accidental damage. Please note that the artworks will not be insured against loss, theft or damage. If such cover is required, the artist/parent must obtain or hold such insurance.
  3. Students’ work will not be for sale.
  4. The decision of the ASHYAC Judging Panel will be final and not open for discussion during or after the event.

Additional Information

  1. The competition is open to primary and secondary schools (plus their sixth forms) within Huntingdonshire and invited schools in Cambridgeshire.
  2. Students may not enter individually: all work must come through the school’s Art Department. Students who are not currently studying Art are welcome to enter provided they go through the Art Department. Home-schooled students are welcome to submit work, provided they go through a co-ordinating organisation.
  3. There are eleven categories:
    • Early Years – Up to three entries
    • Key Stage 1 – Up to three entries – Maximum size A3
    • Key Stage 2 – Years 3 & 4 – Up to three entries – Maximum size A3
    • Key Stage 2 – Years 5 & 6 – Up  to three entries – Maximum size A3
    • Key Stage 3 – Year 7 – Up to three entries – Maximum size A2
    • Key Stage 3 – Year 8 – Up to three entries – Maximum size A2
    • Key Stage 3 – Year 9 – Up to three entries – Maximum size A2 
    • Key Stage 4 – Up to four entries – Maximum size A1
    • Key Stage 5 – Up to four entries – Maximum size 1 metre x 1 metre
    • Photography – Up to three entries in each of the secondary school categories
    • Digital Art – Two entries from each Key Stage 2 to 5 category as listed above
  4. Prizes will be awarded to the work judged ‘Best in each Category’. 
  5. There are further prizes for winners of the People’s Vote on the day for both primary and secondary entries; and for drawing in each category of Key Stages 2 to 5. 
  6. Schools and co-ordinating organisations should register to take part in the exhibition. Work for entry in the exhibition (clearly labelled) can be either delivered or collected.  To arrange collection by a volunteer please contact ashyoungartists@gmail.com
  7. All work accepted into the competition will be displayed at the ASHYAC Exhibition.  Students, friends, families and the public are most welcome at the exhibition. .
  8. All work will be returned to participating schools in the weeks following the exhibition.

Permission

Before we can accept work into the exhibition, it is essential to have parental/guardian permission for the work to be shown publicly. 

We therefore ask all Art teachers to print off the Permission Form and Label using the link below for each student submitting work. Students should then get parents/carers to complete and sign the form and return it to you as soon as possible.  A completed Permission Form must accompany all artworks submitted to the exhibition and the label section of the form must be completed and attached securely to the back of the work.
